Please help clarify how and when an employee direct deposit is inactivated.
How long a period of pay inactivity must occur before a direct deposit is inactivated?
Direct deposits are inactivated after 90 days without pay.
If we terminate a student July, then rehire them later in the year, does the termination automatically inactivate the direct deposit, or does it remain active for a period of time in case we rehire them?
Even if an employee is terminated, their direct deposit remains active until 90 days without pay.
Is the unit or the employee informed when a direct deposit is inactivated?
Units and employees are not notified when the direct deposit is inactivated; however, an email does go to newly hired and rehired employees notifying them to go to the ePayroll site and enroll/re-enroll in direct deposit.
Is it true that after inactivation, the employee can look at the ePayroll system and not be able to tell that their direct deposit has been inactivated?
Employees will not be able to tell from ePayroll that their direct deposit is inactivated. If they have not been paid in 90 or more days, they should delete the direct deposit info and re-enter it to make sure that they are re-enrolled. OSU currently has no way of “purging” info from Talx.
Does the Public Records Act require that we give out home addresses and home telephone numbers of our employees?
Our college’s policy is not to release an employee’s personal information unless it is required by law. Since the Supreme Court has determined that home addresses and home telephone numbers are not subject to the Public Records Act, as a matter of policy our college has chosen to protect the privacy of our employees by not sharing this information. I was told that there have been changes concerning international graduate students -- that they are no
longer permitted to work beyond the day of their graduation (not even bi-weekly) unless they have an
EAD. Or they risk deportation. Have you heard anything about this?
OIE has informed me that this is true. International students may not
work beyond the day of their graduation.
Since biweekly employees are paid only for the actual days they work, international biweekly student employees may not work or get paid for any days after graduation.
However, we typically standardize our Graduate Associate appointments, as we do for faculty. Although the actual work typically begins shortly before or at the beginning of classes and ends during finals week, we pay them as follows:
- Autumn Qtr: October 1 - December 31
- Winter Qtr: January 1 - March 31
- Spring Qtr: April 1 - June 30
- Summer Qtr: July 1 - September 30
OIE has clarified the regulation, saying, "a person can be paid at any future date as long as the work was performed during the authorized period. So, if he is getting paid in September for work done up until graduation, he's OK and you can pay him in September. He cannot actually work after graduation day without getting the EAD..."
